IPFusion provides operational technology platforms designed to connect, monitor, and coordinate infrastructure, security, safety, and facility systems across complex environments. 
 
For purposes of this Privacy Policy, “IPFusion Services” includes IPFusion Control, IPFusion LiVE, associated websites and support services, training resources, hosted services, and related operational platform offerings. 
 
IPFusion Services are designed primarily to process operational system and infrastructure information, including telemetry, alarms, workflows, and operational events. IPFusion Services are not intended to function as systems of record for personal, medical, inmate, patient, or employee records. 
 
Different IPFusion Services may operate using different deployment models. Certain IPFusion Services operate primarily within customer-controlled on-premise environments, while others utilize cloud-connected infrastructure and hosted services. 
 
IPFusion Services are intended for use by organizations, institutions, integrators, and authorized operational personnel. 

2. Scope of This Policy

This Privacy Policy applies to: 
• IPFusion Control 
• IPFusion LiVE 
• IPFusion websites 
• support and customer service interactions 
• training and knowledge resources 
• marketplace listings and related services 
• and other services provided by IPFusion 
 
IPFusion Control is commonly deployed within customer-managed or integrator-managed environments and may operate without internet connectivity. 
 
IPFusion LiVE operates as a cloud-connected operational intelligence platform utilizing onsite edge appliances and hosted cloud infrastructure. 
 
This Privacy Policy also applies to information collected through contact forms, support requests, account administration, and communications related to IPFusion Services. 
 
This Privacy Policy does not govern third-party systems, applications, or infrastructure integrated with IPFusion Services. Customers remain responsible for the management and governance of third-party systems connected to their environments. 

3. Information We Collect

IPFusion may collect business and account-related information provided by customers, partners, integrators, and users in connection with platform access, support services, training, communications, or commercial relationships. 
 
This information may include: 
• names 
• organization information 
• email addresses 
• telephone numbers 
• billing or account contacts 
• support or administrative contact information 
 
IPFusion Services are designed primarily to process operational and infrastructure-related information from connected systems and environments. 
 
Depending on deployment configuration and connected systems, IPFusion Services may process: 
• alarms and operational events 
• device states 
• environmental telemetry 
• system health information 
• infrastructure monitoring data 
• audit and workflow records 
• access and operational events 
• maintenance and status information 
• related telemetry information 
 
Operational data processed through IPFusion Services is customer-controlled and generated from customer-managed systems and infrastructure. 
 
Integrated third-party systems may expose limited identifying information operationally, including user names, cardholder information, room associations, or access-event attribution. Where such information is present, it is generally provided by customer-managed source systems integrated with the IPFusion environment. 
 
IPFusion Services may interface with third-party video management systems for operational workflows, live viewing, alarm response coordination, or related functions. 
 
IPFusion does not operate as a video storage or archival platform. Video retention, archival, and management remain the responsibility of connected customer-managed or third-party video management systems. 
 
IPFusion websites and online services may collect limited information related to contact form submissions, support requests, account inquiries, training registrations, and operational communications. 
 
IPFusion websites may utilize cookies, embedded media, session technologies, and limited analytics or technical functionality necessary for website operation, diagnostics, security, communications, and service administration. 

4. Operational Data & Integrations

IPFusion Services are designed to integrate with operational, infrastructure, security, safety, industrial, and facility systems deployed within customer environments. 
 
These integrations may include: 
• access control systems 
• video management systems 
• intercom and communications systems 
• industrial controllers 
• environmental monitoring systems 
• building automation platforms 
• alarm systems 
• related operational technologies 
 
Information processed through IPFusion integrations originates from systems managed by the customer or the customer’s service providers. 
 
IPFusion functions primarily as an operational coordination platform, integration layer, telemetry platform, and workflow environment. 
 
IPFusion is generally not the authoritative source system for identity records, personnel information, patient information, inmate information, or institutional records maintained within connected systems. 
 
Customers remain responsible for: 
• operation and governance of connected systems 
• accuracy and legality of information transmitted through integrations 
• management of records maintained within third-party systems 
 
IPFusion does not aggregate operational data across unrelated customer environments. Operational information processed through IPFusion Services is logically separated by customer environment and deployment context. 
 
Certain IPFusion Services, including IPFusion LiVEutilize cloud-hosted infrastructure and telemetry transmission from customer environments to hosted platform services. 
 
IPFusion Control deployments commonly operate within customer-managed environments and may function without internet connectivity or cloud-hosted infrastructure. 

5. How Information Is Used

IPFusion uses information collected through IPFusion Services for operational, administrative, support, and service-delivery purposes. 
 
Depending on the deployment model and customer configuration, information may be used to: 
• operate and maintain IPFusion Services 
• process telemetry and system events 
• support monitoring, alerting, reporting, and workflow coordination 
• authenticate and administer platform access 
• provide customer support and technical assistance 
• maintain reliability and operational performance 
• respond to support requests and service communications 
• administer onboarding and customer relationships 
• comply with applicable legal obligations 
• protect the security and integrity of IPFusion Services and infrastructure 
 
Operational data processed through IPFusion Services is used for providing customer-requested functionality and related services. 
 
IPFusion does not sell customer operational data or use telemetry for advertising or consumer profiling purposes. 
 
Where support personnel require temporary access to customer environments for troubleshooting or support purposes, such access is customer-approved and limited to authorized support-related activities. 
 
IPFusion may disclose information where required to comply with applicable law, legal process, regulatory obligations, or lawful requests from governmental authorities, or where reasonably necessary to protect the rights, security, or operation of IPFusion Services, customers, or related systems. 
 
Information associated with IPFusion Services may be transferred as part of a merger, acquisition, restructuring, financing, or sale of assets involving IPFusion or related business operations. 

6. Authentication, Access & Security

IPFusion utilizes technical, administrative, and operational measures intended to support the security and integrity of IPFusion Services. 
 
Authentication services for cloud-connected IPFusion Services may be provided through third-party identity and authentication providers. 
 
IPFusion LiVE currently utilizes Auth0 for authentication and account access management. 
 
IPFusion does not directly store customer passwords for Auth0-managed authentication services. 
 
Access to IPFusion systems, services, and support environments is restricted to authorized personnel with operational or support responsibilities. 
 
Certain support services may require temporary remote access to customer-connected infrastructure or edge devices for troubleshooting, maintenance, or support purposes. 
 
Where remote support access is utilized: 
• access is customer-approved 
• limited to support-related activities 
• logged through operational support tooling 
 
Remote support access is not designed as persistent unattended administrative access to customer environments. 
 
IPFusion Control deployments commonly operate within customer-managed environments and may function without internet connectivity or external cloud access. 
 
Customers remain responsible for securing customer-managed infrastructure, managing access to connected systems, maintaining appropriate network controls, and administering customer-controlled environments integrated with IPFusion Services. 
 
No platform, service, or transmission method can be guaranteed to be completely secure. Customers should evaluate IPFusion Services within the context of their operational, regulatory, and infrastructure requirements. 

7. Hosting & Data Transfers

IPFusion Services may utilize customer-managed infrastructure, on-premise deployments, cloud-hosted environments, or combinations of deployment models depending on the platform and customer configuration. 
 
IPFusion LiVE currently utilizes cloud-hosted infrastructure operated within Canadian-hosted Microsoft Azure environments. 
 
Operational information processed through cloud-connected services may be transmitted from customer environments to hosted infrastructure for purposes including telemetry processing, monitoring, reporting, dashboard visualization, workflow coordination, support services, and related functionality. 
 
Certain third-party service providers supporting IPFusion operations may process limited information in connection with: 
• authentication 
• cloud hosting 
• communications delivery 
• customer support 
• operational infrastructure services 
 
Depending on customer configuration, support requirements, or service-provider operations, limited information may be processed or accessed outside of the customer’s local jurisdiction. 
 
Customers are responsible for evaluating whether IPFusion deployment models, hosting environments, and operational services are appropriate for their regulatory, contractual, or organizational requirements. 

8. Retention & Backups

Operational data retention periods vary depending on customer configuration, deployment architecture, contractual requirements, operational needs, and platform configuration. 
 
For cloud-connected services, operational information may be retained for periods necessary to: 
• provide platform functionality 
• support operational reporting 
• maintain service continuity 
• perform backups 
• support troubleshooting 
• comply with applicable legal or contractual obligations 
 
Account records, support communications, operational logs, and backups may be retained for differing periods depending on operational and contractual requirements. 
 
IPFusion Control deployments are commonly customer-managed, and associated backups and retention practices are generally controlled by the customer or the customer’s service providers. 
 
Customers remain responsible for configuring retention requirements appropriate to their environments and evaluating applicable operational or regulatory obligations. 

9. Third-Party Services & Providers

IPFusion may utilize third-party service providers, infrastructure vendors, and operational tooling in connection with the delivery and support of IPFusion Services. 
 
Current providers supporting IPFusion Services may include: 
• Microsoft Azure 
• Auth0 
• SendGrid 
• Freshdesk 
• YouTube 
• InfluxDB 
 
Third-party providers may process limited information solely for purposes associated with: 
• platform operation 
• authentication 
• communications delivery 
• customer support 
• hosting 
• infrastructure management 
• related service functionality 
 
IPFusion does not authorize third-party providers to use customer operational information for independent advertising or unrelated commercial purposes. 
 
Third-party systems, services, or websites integrated with IPFusion Services remain subject to the privacy and operational practices of their respective providers. 

10. Customer Responsibilities

Customers are responsible for: 
• operation and management of customer-controlled infrastructure 
• administration of connected third-party systems 
• configuration of workflows and integrations 
• management of customer-controlled accounts, devices, networks, and environments 
 
Customers are also responsible for evaluating whether IPFusion Services are appropriate for their operational requirements, security requirements, regulatory obligations, retention policies, and governance requirements. 
 
Where IPFusion Services integrate with third-party systems containing personal, institutional, operational, or identity-related information, customers remain responsible for the legality and governance of information maintained within those systems. 
 
Customers are responsible for maintaining appropriate network security, endpoint security, access controls, operational procedures, and backup practices within customer-managed environments. 
 
IPFusion does not control the operational practices, privacy practices, or security configurations of third-party systems integrated into customer environments. 

11. Privacy Rights & Applicable Laws

Depending on applicable law and jurisdiction, individuals may have rights relating to personal information processed by IPFusion, including rights to request access, correction, or deletion of personal information. 
 
Because IPFusion Services are generally deployed within customer-controlled environments, IPFusion may direct certain privacy-related requests to the applicable customer or organization responsible for the underlying systems and records. 
 
Where applicable privacy laws, including PIPEDA and similar privacy legislation, grant additional rights or obligations, IPFusion will respond to requests and obligations in accordance with applicable legal requirements. 

12. Security Incidents

If IPFusion becomes aware of a security incident affecting hosted IPFusion Services, IPFusion will take reasonable steps to assess, mitigate, and address the incident and provide notifications where required by applicable law. 

Customers remain responsible for incidents, security events, or operational issues originating from customer-managed infrastructure, third-party systems, connected environments, or configurations outside of IPFusion-hosted services. 

13. Changes to This Policy

IPFusion may update or revise this Privacy Policy from time to time to reflect operational changes, platform changes, legal or regulatory developments, infrastructure changes, or updates to IPFusion Services and practices. 
 
Updated versions of this Privacy Policy will be posted through applicable IPFusion websites or service locations with an updated revision date where appropriate. 
 
Continued use of IPFusion Services following publication of an updated Privacy Policy may constitute acceptance of the revised policy, subject to applicable legal requirements.
